Q. How are Change and Warning Percentages calculated by the PowerSchool Learning Importer?

A. Change Percentages are calculated based on the number of deleted and updated records, out of your existing data. Warning Percentages are calculated based on the number of warnings triggered, out of the total number of lines in your import files.

Please Note: Change and Warning Percentages are only applicable to PowerSchool Learning School & District Edition customers using Automatic Imports. Customers manually importing files will always be required to approve the data prior to triggering the import.

When configuring settings in the Importer, domains using automatic imports can elect to require admin approval for imports if certain thresholds are met - the Change Percentage and the Warning Percentage.

How are they calculated?

  • Change Percentage is calculated using the following formula: # of (updated records + deleted records) / # of records of existing data.*

    For example: If you have 100 existing users in your domain, and your import will update 20, delete 10, and create 50 new users, this will be: (20+10) / 100 = or a Change Percentage of 30%.

    *The number of new records to be added by the import is not counted towards the Change Percentage.

  • Warning Percentage is calculated using the following formula: # of warnings / # of rows in all of your import files.

    For example: Let's say you are importing Users, Roster, and Classes files, and those three files have 500 total rows. You receive 100 warnings from the Importer when you upload the file, during the pre-import check. This will be 100/500, or a Warning Percentage of 20%.
